Learn how to use Cozero's bulk import template for Corporate Carbon Footprint calculations.

Updated over a week ago

In this guide, we’ll walk you through the process of importing your activity data using Cozero’s updated Bulk Import feature. This new flow allows for the easy upload of multiple logs from various Cozero categories, minimizing errors with built-in validation rules.

We released a new version of the Bulk Import template in December 2024. The new template comes with improved features and better functionality, designed to make your data import experience smoother.

Please note: We will continue to support the old template until May 2025. After this date, the old template will no longer be accepted for imports. We recommend switching to the new template to ensure uninterrupted service.

What's new in the Bulk Import feature?

Cozero’s updated Bulk Import feature brings several exciting improvements to make your data upload faster and more accurate.

  • Multiple categories in one file: Import data from up to 8 Cozero categories all at once. This makes managing large datasets across your organization much easier.

  • Built-in validation rules: The new template includes powerful validation checks to minimize errors. Your data will be correctly formatted before upload, saving you time on corrections.

  • Simplified template: We’ve redesigned the template for ease of use. With clearer instructions, drop-downs suggesting answers, and a clearer layout, entering your data is now quicker and simpler.

  • Error resolution directly in spreadsheet: Upload your file and Cozero will instantly highlight any issues in a downloadable excel file, making it easy to fix mistakes and re-upload.

  1. Log into Cozero: Start by logging into your Cozero account and navigate to the Bulk Import feature in your dashboard.

  2. Select categories: Choose the category or categories you want to log data for (e.g., "Office Goods," "Logistics"). You can select up to eight categories at once in a single file.

  3. Request template: Click the option to request the Bulk Import template. Cozero will send the file to your registered email address within a few minutes.

  4. Download the file: Open your email and click on the link to download the template. Save the file to your computer.

  5. Open in Excel: Open the downloaded file in Microsoft Excel or a similar spreadsheet software. Google Sheets is not supported.

Tip: You can zoom-in on your browser, to see the animated pictures better.

Step 2: Fill in the template on Microsoft Excel, or a similar spreadsheet software. Google Sheets is not supported.

  1. Locate the data input sheet: Open the Data Input Sheet, where you’ll add your activity data.

  2. Use the data guide: The Data Guide sheet contains instructions, examples, and a reference for required fields. Use it to find the correct match for your activity data.

  3. Enter required data: Enter your data in the relevant columns. For example:

    • Location (Column B): Select the location for the log entry.

    • Start and End Dates (Columns C & D): Enter the start and end dates for your activity.

    • Data Type and Values (Columns J, M, P, S, V): Fill in all the required data fields marked with an asterisk (*).

  4. Use filters for easy data entry: Use Excel’s filtering option on the Data Guide to quickly find the relevant row for your activity. For example, if you’re logging office furniture, filter to find the correct item (e.g., wooden chairs).

  5. Add optional fields: Fill in additional columns as needed, such as:

    • Log Description (Column E): Add a custom description for the log.

    • Log Entry Title (Column F): Customize the title that will appear for this entry.

    • Tags (Column AC): Add relevant tags for categorization (from the Organization Data sheet).

Step 3: Upload the template

  1. Save the file: After entering all your data, save the file.

  2. Upload to Cozero: Go to the Bulk Import page in Cozero and upload your completed template. The upload may take a few moments depending on the file size.

Step 4: Correct errors

  1. Error detection: Cozero will automatically validate your data. Any errors will be highlighted, and you’ll receive an email notification.

  2. Download error file: If there are errors, download the error file that Cozero provides, which will show exactly which rows need correction.

  3. Fix errors: Review the errors, correct them in the Data Input Sheet, and save your changes.

  4. Re-upload the file: Once corrected, upload the file again for validation.

Step 5: Re-submit the corrected file, and see the resulting emissions

  1. Submit the file: Once all errors are resolved, the Submit File button will become active. Click it to submit your data.

  2. Receive confirmation: After submission, you will receive an email notification confirming the import is complete.

  3. Emission calculations: Note that emission calculations may take a little longer to appear. You may see your newly added logs showing ‘0’ emissions at first, but actual emission values will be calculated shortly after.
